About The Annex

The Annex is YBCA’s new flexible-use space. Available to community partner groups and non-profit organizations, The Annex provides an inviting space for meetings and events. Gallery admission is included when space is booked Tuesday-Sunday. Room is ADA compliant with free wifi, whiteboards, and a 40” video monitor. (Please note, The Annex does not come with access to a printer or copy machine.)

How to reserve

Criteria for use
Community groups and verified 501c3 non-profits: May book up to six months in advance.

Email annex@ybca.org with the following information:

  • Name of organization
  • Contact name, email, and phone number
  • Desired date and time, and second choice, if available
  • Purpose of use and number of attendees
  • Scanned copy of signed waiver

Guidelines for use
  • Space must be left as you found it (“crumb clean”).
  • Music (recorded or live) may not be loud enough to be heard in the lobby.
  • No selling of products, food, tickets, or other items.
  • No advertising an event as “open to the public.”
  • The resources in the room are available for you, however, YBCA is not able to provide any event set-up or media assistance.
  • Max capacity of 30 people is strictly enforced.
  • Please do not use thumbtacks or anything that may puncture or mar the walls.
  • Please use only YBCA-provided dry-erase markers on white boards.
  • Physical alterations or damage to the space may result in a fee.
  • No posting of signs in/on exterior glass.
  • No alcohol may be brought in or consumed due to our liquor license. Thanks for understanding!

On the day of your event
Please have your group leader stop in at the ticketing desk on the day of your reservation. We suggest leaving the In Use sign in the window, to avoid interruptions from the public. If you would like to arrange a tour of the space prior to your event, please email annex@ybca.org.

FAQ
Who is allowed to use the space?

YBCA Community Partners have first priority. If you are not a community partner and would like to use the space, please email annex@ybca.org

What is the capacity?

30 people maximum, per fire department regulation.

When is it available for use?

Monday-Sunday from 10:30AM to 5:30PM. Available until 7:30PM on Thursdays. Please note, the galleries are open 11AM–6PM Tue–Sun, and until 8PM on Thursdays.

How much notice do you need to book the space?

We generally need at least 48 hour notice.

Is gallery admission included?

Gallery admission is included on all days except Monday. Your group will receive tickets for the galleries when they check in at the front desk.

What if I need to show a video or powerpoint?

There is a 40” monitor available for you with a lightning connector (MAC) and HDMI cable (PC). The monitor does have speakers. We suggest visiting the space prior to your reservation to ensure you have the correct equipment (email us at annex@ybca.org). Unfortunately, YBCA staff is not available to troubleshoot technology.

How do I book the space?

What if I need to cancel?

We understand plans can change, and if you need to cancel, simply email annex@ybca.org. We appreciate 36 hours notice, in case another group is on the waitlist.

What furniture is in the room?

Please see the layout here. We also suggest visiting the space prior to your event. Email annex@ybca.org to make an appointment.

Can I move the furniture?

Yes, the space was designed to be flexible. Some of the furniture is moveable, we just ask you return it to the original set up when done.

Can we put up a sign outside the room?

We ask that you limit activities to inside The Annex. Thanks for understanding.

I need access to a sink/kitchen.

You’re in luck! The Annex has a small kitchen. Please email annex@ybca.org to discuss your needs and get more information prior to booking the space.
