Services

Upon approval of an event, YBCA assigns an event coordinator who is the licensee's primary contact. The event coordinator shall be available throughout the process to answer procedural questions and provide directional support in the event's production.

Whenever a specific activity or procedure requires YBCA's approval, the event coordinator will guide the licensee to the appropriate personnel.

YBCA Production Services

YBCA Production staff offers consultation, referrals and services for all types of presentations including performances and special events. This includes evaluation of technical needs, production cost estimates, and the hiring and managing of additional technical staff. The Licenses is responsible for providing a professional production manager for their event.

Under a working agreement with the International Alliance of Theatrical Stage Employees (IATSE), Local 16 YBCA may hire additional specialized labor to provide the necessary services for each production or event. These services include rigging, sound, projections, theatrical lighting, video & film computers, draping, carpentry special effects, and properties. Additional services are available for scenic art, wardrobe, make-up and hair.

Equipment Rental

YBCA maintains quality lighting, rigging, and sound packages. A list of our equipment is contained in the Technical Specifications of the facilities information. Much of the equipment is included in the basic licensing fees (BLF) for the facility. Equipment not included in the BLF will be listed on a schedule of fees as part of the Short Term License Agreement and shall have a separate charge assigned. All equipment is subject to availability.

Box Office Services

YBCA retains exclusive management and control over Box Office and ticketing services for events and performances that occur at YBCA venues. Ticketing services shall be provided according to YBCA's Box Office policy. Events with on-site ticket sales are required to use YBCA's Box Office unless YBCA authorizes a waiver. Waiver requests must be in writing and are subject to YBCA's approval.

Box Office Hours

For ticketed events, ticket windows at both venues (Forum or Theater) open 90 minutes prior to and close 30 minutes after scheduled event start time, unless other arrangements are made in advance.

When there is less than 90 minutes between 6 pm and the start of the performance, the Box Office shall remain open continuously. The Theater ticket sales windows (in the Howard Street lobby) open 90 minutes prior to curtain. Generally, all ticket sales windows will close 30 minutes after the advertised start of a performance.

With sufficient advance notice, arrangements for extended day of show service are negotiable and subject to additional fees.

Concessions

YBCA reserves the right to all sales of food and beverage in and around the facilities. The additional sale of event-related merchandise (i.e., books, CDs, posters, T-shirts, etc.) by a licensee may be permitted. Merchandise to be sold must be approved by YBCA no later than one (1) week prior to the event.

Coat Check

Coat check service can be arranged to be available from one (1) hour prior to curtain until one-half (1/2) hour after the end of the event.

Data and Telecommunications Services

Phone Lines

YBCA Facilities Management can provide analog phone lines to various locations within each venue. All telephone orders include: standard, touch-tone phones, free upon request as available; direct dial; phone installation prior to start of event and deinstallation post event; local & long-distance calls charged by the minute.

Orders for telephone lines must be received no less than ten (10) days prior to the start of facility rental. Changes to orders must be received no less than two (2) business days prior to the start of facility rental. Order forms are available from your Event Coordinator.

Ethernet Services

Ethernet access is available in some locations in the Theater and Forum. For more information and to setup access please contact your Event Coordinator.
